ARTIST GUIDE

Our longtime artists (and new ones alike!) can tell you that vending at craft events is no simple task. Using our combined knowledge, we have started to compile some tips, tricks, general information and lodging info that may make your fair experience run smoothly. Whether this is your first craft fair or your hundredth, we hope you find helpful information here– please email us at whiteoak@artscenterofcc.com if you'd like to contribute your insider tips to this list!


BEFORE THE EVENT

  • Know the rules: Read the vendor packet thoroughly—setup time, booth size, allowed signage, parking rules, etc.
  • Inventory prep: Bring 2–3x more product than you think you’ll sell. Small, impulse-buy items sell fast.
  • Square reader & cash: Bring a card reader with offline capabilities. Have at least $100–150 in small bills for change. Have an easy-to-manage cash box and keep it secured at all times during the fair.
  • Price clearly: Use sturdy, easy-to-read tags or signage.
  • Practice your setup: Do a mock booth setup in your driveway or yard to test layout, time, and packing logistics. Take a picture when you are happy with the look and flow. This also lets you know… do you need to bring tape, scissors, nails, hammer, pliers, hole punches, etc?

BOOTH SETUP AND DISPLAY

  • Make it inviting: Use tablecloths, crates, risers, or shelving to create visual interest and vary height.
  • Keep it tidy: Don’t overcrowd. Leave space for customers to browse without feeling overwhelmed.
  • Use vertical space: Hang signs or products on walls of your tent to maximize visibility.
  • Have branding: Display your shop name prominently with a banner or sign. Offer business cards or QR codes.
  • Lighting: Battery-powered candles or fairy lights help set the mood and draw people in.
  • Fan: A breeze can be nice if the weather is warm

PREPARING FOR THE OUTDOORS

  • Bring a sturdy tent: Use a 10x10 canopy with sides and a vented top. Make sure it’s waterproof. Artist tip: small hula hoops can be wedged between tent top and poles to avoid collecting water if it rains.
  • Weight it down: Use 30–40 lb weights or sturdy stakes for each leg. Wind gusts can flip unanchored tents or displays that aren't secured.
  • Prepare for sun, rain & wind: Bring tarps, bungee cords, clips, and clear plastic sheeting to quickly cover items.
  • Layer your clothing: Mornings can be chilly, but afternoons get hot. September weather is unpredictable. Actually, most of the year the weather is unpredictable. Welcome to Tennessee!
  • Stay dry & comfortable: Waterproof shoes or boots and a camp chair with a back are lifesavers.

ENGAGING CUSTOMERS

  • Greet everyone warmly: A simple “Hi there!” can pull people in, but don’t hover or pressure.
  • Guestbook: A great way to grow your mailing lists.
  • Know your pitch: Be ready to talk about your process, materials, and what makes your products unique.
  • Have a demo project: Keep your hands busy and help connect your customers to your craft.
  • Sale strategies: Deals, bundles, fair specials, or new product launches can increase urgency for buyers.
  • Bag it nicely: Send each sale off in safety and style!

PERSONAL COMFORT

  • Stay hydrated: Bring plenty of water. September can still be hot and humid. A cooler can keep things ice cold.
  • Pack snacks: Nuts, protein bars, fruit, etc. Don’t forget napkins/wipes.
  • Backup help: Bring a friend to help with bathroom breaks or cover during busy spells. You can always call the front desk at the Arts Center (615-563-2787) for a hand if you're running your booth solo.
  • First Aid: Sunscreen, medication, bandages, etc...What might you need?
  • Odds and Ends: Don’t forget the small things like pens, garbage bags, order forms, receipt books, calculator, sharpies, battery backup/phone charger, and patience.

AFTER EACH DAY

  • Restock & reorganize: Restock hot items and reorganize your display as needed.
  • Secure your items: Zip up your booth and cover your products overnight. Overnight security will be provided both Friday and Saturday nights, so leave whatever fits your comfort level.
  • Social media shoutouts: Post photos and booth location during and after the event to draw more visitors.
  • Sales recap: Did you keep track of sales for the day? Info about what items are selling, what payment methods people are using, inventory and cash change available is very useful in preparing for the next day/future events.

We have been working to scout out local lodging for our out-of-town vendors, and work out deals for White Oak artists when possible. The following are options for those of you looking for a place to stay.
